Common questions about Praxonony's products and services
Praxonomy is a cloud-based application commonly known as board portal.
A board portal is a centralised, online hub designed for the administration and management of all materials and activities relevant to Board of Directors’ meetings. Board portals streamline meeting processes, allow immediate access to up-to-date information and offer collaborative features for members of the board in a secure environment.
The end-users of a board portal are generally company secretaries, legal counsels, senior executives and the Board of Directors of organisations.
In most cases, company secretaries are delegated to be the administrators of a board portal. The board portal allows them to create meetings, compile and distribute digital board papers or packs, upload or update documents, manage portal members, workspaces and permissions on the fly.
The Board of Directors utilises the board portal to receive the meeting notifications, the digital board packs, and other related board documents. They are able to share, review, edit, and comment on these documents. Directors should be able to easily access past meeting information with their related documents. Directors can also communicate with fellow members (and/or various stakeholders) through communication functionalities available within the application.
The benefits of using a board portal range from a reduction in material costs to better corporate governance.
Running paperless meetings help companies save on paper costs and resource hours because of the ease of building and distributing digital board packs. Meetings can be created in minutes, as opposed to hours. Changes to files and documents can be pushed instantly ensuring that the information in the hands of the members of the Board is always up-to-date.
Directors make efficient use of their time and increase their productivity levels because of the seamless ability to review, comment, and collaborate on board information and documents. Action items that require their attention are easily tracked and addressed in tasks. More often than not, an engaged and well-informed board translates to better corporate leadership.
Security is also one of the main advantages of a board portal. In today’s business environment, organisations are vulnerable to the continuous surge of cyber attacks. This is in addition to facing increasingly stringent security regulatory requirements. The sensitive nature of board documents demands for platforms that utilise methods such as data encryption and appropriate security permissions to ensure strong data protection. Utilising a highly secure board portal such as Praxonomy assures organisations that these are met, allowing resources to focus on other matters at hand.
Board portal usage spans industries and all types of organisations from public and private corporations, government agencies, non-profit organisations to educational institutions.
Although previously used mostly in highly regulated sectors and by large-scale corporations, more organisations such as small and medium-sized enterprises (SMEs) and non-profits are increasingly adopting the use of board portals primarily because of their benefits and lowered cost of ownership, as well as increased data security and regulatory requirements. Praxonomy's flexible design and configuration options make it suitable for most governance structures.
Security is the foundation of a board portal. A robust board portal should be secure by design. Data encryption, secure and resilient application hosting are paramount. Board portals should have reliable uptime statistics and ensure that the hosting environment meets governance requirements.
Board portals must be designed with users of different technological competencies in mind. Board administrators and board members alike should be able to comfortably navigate the different functionalities of the application. An easy-to-use, intuitive interface ensures the successful adoption of the technology.
High quality customer support is another essential component of a board portal. One of the main benefits of a board portal is its ability to save time for both administrators and board members. The availability of a knowledgeable, dedicated, around-the-clock support team to address the simplest of questions assures users that productivity won’t be compromised.
Praxonomy is developed and delivered with a comprehensive security framework complemented by a multi-layer defence mechanism which consists of encryption of data in transit and at rest and highly secure hosting infrastructure. SaaS refers to software-as-a-service in which the service provider, such as Praxonomy, delivers software and applications through the internet. Users subscribe to the software and access it through web browsers, desktop or mobile application. SaaS is an alternative to the traditional software installation process, where a user has to build the server, install the application and configure it (commonly known as on-premise installation).
Businesses are increasingly adopting software solutions via the SaaS model, and the advantages of SaaS over on-premise installation are well documented. The main advantages of SaaS for solutions like board portals are the following:
